Mail tracking for dental offices
Dental offices mail patient statements, recall and reminder cards, treatment plans, insurance correspondence, and payment envelopes. When a patient says the statement never came, or the office is waiting on a check, an Intelligent Mail barcode (IMb) label shows when the piece entered the mail and where it went.
Check one thing first: HIPAA
A patient's name and address on mail from a dental practice can be protected health information. Before you put patient mail through any third-party mailing or label service, ask your compliance advisor whether a Business Associate Agreement is required, and get one in place if it is. Mail that doesn't identify patients - vendor payments, lab and supplier correspondence, insurance-company mail - doesn't raise the same question.
Where tracked mail helps a dental office
- Patient statements - when a balance is disputed, you have the mailing date and the last USPS scan.
- Recall and reminder cards - time a confirmation call for the day the card reaches the patient's area.
- Payment return envelopes - put a label addressed to your office on the reply envelope and see checks heading your way.
- Insurance appeals and claim correspondence - track paper appeals to carriers that still require mail.
- Lab cases and supplier mail - flat-size envelopes to and from labs and vendors.
What patients see
Each label's public tracking page shows scan status only - no name, no address and none of your notes. Patient details stay in your practice's account, and you can turn off search-engine listing of tracking pages in Settings.
Running it
- Export the statement run or recall list from your practice-management software as a CSV.
- Upload it (up to 500 rows a file) and print Avery 5163 labels or #10 envelopes.
- Mail with First-Class postage. Tracking 300 monthly statements costs $36 in labels.
What tracking can and can't tell you
- Scans come from USPS automated processing. A piece that skips the machines - hand-sorted, damaged or oversized - may show few or no scans.
- Letters often have no delivery scan. The last processing scan at the destination facility is usually the final event, typically the day before or the morning of delivery.
- Tracking is information, not proof of delivery. For legal notices that need proof, use USPS Certified Mail.
- Labels add tracking only - they don't change your postage or qualify mail for automation discounts.
