Mail tracking for real estate agents

Mail still works in real estate: just-listed and just-sold letters, handwritten notes to a farm area, offer packets to sellers who prefer paper. What's always been missing is knowing when it arrived - so your follow-up call lands while the letter is still on the kitchen counter, not a week later.

Time your follow-up to the mailbox

Put an Intelligent Mail barcode (IMb) label on each envelope and USPS scans it as it moves through processing. When the piece reaches the destination facility, it is usually delivered that day or the next. That is your cue to call, text or knock.

Ways agents use tracked mail

  • Just listed / just sold letters to the surrounding neighborhood - see when the batch hits the local facility and plan door-knocking for the next day.
  • Letters to expired or FSBO listings - follow up when you know it's arrived, not before.
  • Offer letters and seller packets - track a printed offer you mailed to an out-of-town owner.
  • Closing gifts and thank-you notes - confirm they went out after a busy closing week.

Set it up in minutes

  1. Create a label for one address, or upload a CSV of your farm list (up to 500 addresses at a time).
  2. Print on Avery 5163 labels for postcards and envelopes, or directly onto #10 envelopes.
  3. Mail with a regular First-Class stamp. Each label has its own tracking page you can share with a client or teammate.

Tracking a 250-home farm mailing costs $30 in labels.

Keep it to the right mail

Labels go on First-Class letters, cards and flats. For contracts or notices where you need legal proof of delivery, use USPS Certified Mail; tracking shows the journey, not a signature.

What tracking can and can't tell you

  • Scans come from USPS automated processing. A piece that skips the machines - hand-sorted, damaged or oversized - may show few or no scans.
  • Letters often have no delivery scan. The last processing scan at the destination facility is usually the final event, typically the day before or the morning of delivery.
  • Tracking is information, not proof of delivery. For legal notices that need proof, use USPS Certified Mail.
  • Labels add tracking only - they don't change your postage or qualify mail for automation discounts.

Try it on your next mailing

Labels are 12¢ each in prepaid packs, and credits never expire. See how IMb tracking works.
